The following company credit card policy provided by our company will set up various
guidelines for the employees who have the right to hold a company card. Our company will
provide a credit card to those employees who need it for business-related expenses.
Having these cards will also help the organization track expenses, and make payments more
efficiently while also avoiding fraud incidents. Through the following policy, we’d like
to ensure that the card is being used properly and will also let the employees know the
responsibilities and limitations that come along with the card.
This policy will apply to all the employees who are eligible for the credit card provided
by the company.
The following guidelines are expected to be followed by the employees who hold a company
credit card:
1. The credit card provided by the organization will be provided in the name of the
employee. This card will be used solely for company needs.
2.When the credit card has been provided to the employee there will be an additional
credit card agreement that needs to be signed by the employee. This is done to
acknowledge that the card belongs to the company and that the investigative charges can
be processed as and when needed.
Conflict in interests may occur especially when you work in a team. If it turns out such
a conflict has been created by an employee, then the employee shall be terminated. If
there was an involuntary conflict of interest then we as an organization will take the
actions required to rectify the situation.
3.Company credit card may be provided to the following people:
- [executives of higher level]
- [filed sales people]
- […]
4.The credit card cannot be used for unauthorized usage. It is also to be noted that
withdrawal of cash using a company credit card will be prohibited.
5.The employee will be responsible for the credit card and need to document expenses
above [specify amount] and provide monthly credit card reports.
We expect you to follow the guidelines mentioned in the policy and if it is found that
the employees do not follow the stated policies there may be action taken. Some of the
instances include the following:
- If you incur any personal or unauthorized expenditures then the organization expects
you to pay for them yourself. If there are such repeated instances you may lose the
credit card authority or may even get terminated.
- If you fail to submit the expenses on time which leads to a late fee then you need
to pay for them yourself. Doing such an action will also lead to the loss of credit
card privileges.
- Authorizing the credit card to people out of the company may lead to suspension or
termination.
