The following company email usage policy will help the employees about the usage of their
company email addresses appropriately. Email is an essential part of daily work and we
as an organization would like to ensure that the employees will understand the
limitations of using corporate email accounts.
Our goal is to protect confidential data from any sort of breaks and safeguard reputation
and technological property.
This policy will apply to all of our partners, vendors, and employees who are assigned to
a corporate email. This mail will be assigned on an individual basis or a department
basis.
Corporate emails are one of the primary ways through which employees can communicate
regarding their work-related purposes. Usage of this needs to follow certain criteria.
The guidelines provided under the company email usage policy need to be followed by all
the employees belonging to our organization:
1. As our employees will be the ones representing our company you mustn't indulge in
the following activities:
- Sign up for any sort of disreputable website by using the corporate email address.
- Registering for a competitor’s services unless it has been approved by the
management
- Sending any sort of insulting or discriminating messages
- Unauthorized content being sent
2. Employees are free to use the mail for any work-related purpose and this includes but
does not limit to the following activities:
- Logging in to purchased software that the employees have legitimate access to
- Communicating with customers or vendors
- Providing work mail to people they meet at conferences or career fairs
- Signing up for newsletters or other online services that help them grow as a
professional.
3. The mail can also be used for personal uses as stated below:
- Registering for meetups or classes
- Sending emails to friends or family as long as NDA is being followed
- Download eBooks, and guides for personal use as long as it is safe.
If employees fail to adhere to the policy states there will be disciplinary actions that
lead to termination. Some of the instances that lead to termination can be as follows:
- Using a corporate email address to send data that is confidential
- Indulging in illegal activity using work email
- Offensive or inappropriate mail being sent to partners or colleagues
